Privacy Policy

Balance (“we”, “us”) builds a relationship-first revenue OS. This policy explains, in plain English, what we collect on trybalance.io and in early access to the product, why we collect it, and what we do with it. If anything here is unclear, email help@trybalance.io.

1. What we collect

• Waitlist signups. When you enter your email on our waitlist form, we store the email address, the source page, the timestamp, your IP address, and your browser user-agent. We also send ourselves a real-time notification containing your email address and the source page. That notification is delivered by ntfy, listed as a subprocessor below. We also record your email in our CRM (HubSpot, listed below) so we can follow up.
• Contact form submissions. When you fill out our contact form, we store your name, work email, company, role, reason for reaching out, message, IP address, and user-agent. We also send ourselves a real-time notification, delivered by ntfy, containing your name, email, company, role, reason, and the first 500 characters of your message. Your name, email, company, and role are also recorded in our CRM (HubSpot, listed below). Your message is not sent to HubSpot.
• App downloads. If you have an invite and download the app, we record the download against your invite. We also send ourselves a real-time notification, delivered by ntfy, containing the email address on the invite, the app version, and how many times that invite has been used. We never send the invite token or the download link to ntfy.
• Assistant chats. The site includes an on-page assistant. Prompts you send it are processed by Anthropic, our AI provider, to generate a response and may be logged for abuse prevention and product improvement. Don’t paste anything sensitive.
• Page-view and click pings. When you load a page here, we send ourselves a real-time notification containing the page path, the referring URL, your IP address, a coarse location derived from it (city, region, and country), and your browser user-agent. The path is sent without query parameters, apart from marketing attribution tags such as utm_source, ref, and gclid. Invite tokens and other credentials in a URL are never sent. Those attribution tags tell us which campaign brought you here. We do not send them onward to any ad network. Clicking a link to our download or contact pages, or a link that takes you off this site, sends the same notification plus the address of the link you clicked. We are a small team. This is how we know when someone is on the site. These notifications are delivered by ntfy.
• Crash reports (Balance desktop app, off by default). The app can tell us when it crashes. This is off unless you switch it on in Settings, and privacy mode switches it off regardless of that setting. A report contains the type of error, a stack trace naming the file and line of Balance that failed, your app version, and basic device facts such as your operating system version and processor architecture. It does not contain your transcripts, meeting titles, notes, contacts, calendar events, file paths, name, or email address. A report is assembled from a fixed list of permitted fields, so anything outside that list is dropped rather than filtered out, and error messages are reduced to machine-readable codes before they are sent. Sending a report reveals your IP address to our crash-reporting provider the way any web request does; we do not attach it to the report ourselves. Reports are processed by Sentry, listed as a subprocessor below.
• Basic server logs. Like any web service, our infrastructure temporarily records request metadata (URL, IP, user agent, timing) so we can operate and secure the site.
• Font requests. Our pages load their typefaces from Google Fonts. Your browser fetches those font files directly from Google’s servers, so Google sees your IP address and browser user-agent when a page loads. No cookies are involved, and we send Google nothing else about you.

2. Google Calendar and account data (Balance desktop app)

The Balance desktop app can connect to your Google account so it can show your meetings. Connecting is optional and only happens when you start it from the app’s settings.

• What we access. With your permission, Balance requests read-only access to your Google Calendar (the calendar.events.readonly scope) and your basic Google profile (the userinfo.email and userinfo.profile scopes). From your calendar we read your events, including their titles, times, attendees, descriptions, and video-conferencing links. From your profile we read your email address and name.
• Why we access it. To show your upcoming meetings inside the app, and to match each meeting to the right person and company so your notes attach to the correct record. Your email and name identify you within the app so you are not listed as one of your own contacts.
• Where it is stored. Balance is a local-first desktop app. Calendar and profile data read from Google is stored on your own device. By default we do not upload it to Balance servers. An optional sync feature, off unless you turn it on, sends only the meeting details you choose to a destination you configure and control.
• What we never do with it. We do not sell or rent your Google data, we do not share it with third parties for their own use, we do not use it for advertising, and no one at Balance reads it.
• Revoking access. You can disconnect your Google account at any time from the app’s settings, or revoke Balance’s access directly at myaccount.google.com/permissions. Disconnecting stops further syncing and removes the calendar data stored on your device.

Balance’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

3. What we don’t do

• We do not sell or rent your personal information.
• We do not run third-party ad or retargeting pixels on this site. The pings described above are sent to our own server, which forwards the notification to ntfy. We are not building an advertising profile of you and we are not following you to other sites.
• We do not send marketing blasts to waitlist signups. If we reach out, it is because we’re personally responding or opening a spot for you.

4. How we use it

• To reply to you and follow up on waitlist and contact requests.
• To operate, secure, and improve the site and product.
• To comply with legal obligations.

5. Where it lives

Data is stored in a managed Postgres database (Supabase) with row-level security enabled and access limited to Balance staff and server-side code. Waitlist and contact details are also recorded in our CRM (HubSpot). Emails we send to you are delivered by Brevo from our own domain (trybalance.io), authenticated with DKIM and DMARC.

6. Subprocessors

We rely on a small set of trusted infrastructure providers:

• Supabase: managed Postgres database.
• Vercel: site hosting; serves every request to this site.
• Cloudflare: serves the desktop app installer download.
• HubSpot: our CRM. Waitlist signups and contact submissions (name, email, company, role) are recorded there so we can follow up.
• Brevo: outbound transactional email delivery.
• ntfy: real-time notifications to our team for page views, link clicks, waitlist signups, contact submissions, and downloads.
• Anthropic: the AI provider behind the on-page assistant. Prompts you send the assistant are processed there.
• Google Fonts: typeface delivery. Your browser requests font files directly from Google, which sees your IP address and user-agent.
• Sentry: crash reporting for the desktop app. Receives a report only if you switch crash reports on, and only when the app crashes.

7. Your choices

You can ask us to delete your waitlist entry, contact-form submission, or assistant chat logs at any time. Email help@trybalance.io and we will confirm within a few business days.

Crash reports from the desktop app are off until you turn them on, and you can turn them back off at any time in Settings under Data. Turning them off takes effect immediately, not at the next restart.

8. Children

Balance is a B2B product. It is not directed at children under 16 and we do not knowingly collect information from them.
